01

Start with the role dessert plays in the reception

A dessert table can replace cake, supplement a small cutting cake or become a late-evening experience. Decide what job it is doing before choosing six different sweets simply because they photograph well.

02

Variety should be understandable

Different flavors and textures can make the table interesting, but too many tiny choices can create leftovers and make quantities harder to plan. Ask the baker or caterer how guests typically choose when several desserts are offered. Build quantities from the complete dessert menu and expected service pattern—not by ordering a full guest count of every individual item.

03

The display needs a service plan

Platters, stands, labels, plates, napkins, utensils and replenishment all need an owner. Confirm whether the baker, caterer, planner or venue sets the table and who resets it as items disappear. Add delivery acceptance, rental return and leftover handling so the display has an owner before, during and after service.

04

Temperature and timing still matter

Buttercream, chocolate, cream fillings and other desserts can react differently to heat or long display periods. Tell the dessert vendor exactly where and when items will be displayed. Follow the food provider's storage and service instructions, and coordinate the display opening with the reception timeline instead of setting perishable items out simply because the room is ready.

05

Use height and negative space instead of filling every inch

A few coordinated stands, intentional groupings and readable labels can create more impact than covering a table with unrelated décor. Let the desserts be part of the design. Save the final quantities, delivery window and setup/cleanup responsibilities in your couple account so Wedding Builder dessert, catering and rental decisions remain connected.

Portland wedding planning FAQ

Do we need one dessert for every guest?

The right quantity depends on portion size, number of varieties, whether cake is also served and how your guests will access dessert. Ask the baker or caterer to build quantities around the actual menu.

Who sets up a dessert table?

It varies. Confirm the responsibility in writing with the baker, caterer, planner or venue so display pieces and food do not arrive without a setup plan.

Keep planning
