01

Look at the venue at the time your reception will happen

A room toured at noon can feel completely different after sunset. Ask for evening photos or visit later if possible so you understand existing fixtures, dark corners and the color of built-in light. Walk the guest and service paths too—entrances, restrooms, buffet or bar areas, stairs and outdoor transitions—because decorative lighting can look complete while functional areas remain difficult to navigate.

02

Separate atmosphere from functional light

Candles and string lights can create mood while still leaving menus, pathways or buffet areas too dark. Identify where guests and vendors actually need to see clearly. Separate dining, service, safety/pathway and decorative tasks on the lighting plan so one fixture is not expected to solve every need.

03

Use lighting to direct attention

Pin spots, washes or focused fixtures can emphasize florals, cake, architectural details or a dance floor. More fixtures are not automatically better; decide what deserves visual priority. Coordinate color temperature and changing dance effects with the broader palette so faces, florals and décor are not unintentionally transformed by competing light.

04

Venue rules can change the design

Open-flame restrictions, rigging limits, electrical capacity and installation windows matter. Confirm them before building inspiration around suspended lights or large candle installations. Identify who supplies, installs, controls and removes each lighting element, and have the appropriate venue/rental professionals confirm power and installation requirements.

05

Coordinate with photography and video

Your media team can explain how extremely dark rooms, colored light or rapidly changing effects may appear on camera. The goal is not to light for photographs alone, but to avoid surprises. Share the final lighting plan with photo/video and save control responsibilities and key lighting changes in your couple account alongside the reception timeline.

Portland wedding planning FAQ

Do we need professional wedding lighting?

Not every venue does. Evaluate the existing light after dark and add lighting where it improves atmosphere, safety or important focal points.

Are candles enough to light a reception?

They can create atmosphere but may not provide enough functional light for every space. Evaluate pathways, dining and service areas separately.
