01

Match delivery to the venue's actual receiving window

Confirm the earliest permitted delivery, whether venue staff must be present and whether another event restricts access. Give those rules to the rental company before accepting a delivery window.

If some items can arrive a day earlier while others cannot, record each window separately instead of treating the rental order as one arrival.

02

Describe the complete load-in path before the quote is final

Stairs, elevators, gravel, gates, long carries and restricted loading zones can affect labor and timing. Share accurate site information, parking instructions and the distance between unloading and final placement.

For elevators or shared loading docks, ask whether a reservation or specific arrival sequence is required so the truck does not arrive without access.

03

Define the line between delivery, placement and setup

A company may drop inventory in a designated area, place tables and chairs, or provide more extensive setup depending on the agreement. List the tasks rather than assuming the word delivery includes them.

For tabletop pieces, confirm who unpacks, places and later consolidates them. Catering, planner, venue and rental staff should not arrive with conflicting assumptions.

04

Treat room flips as timed labor with an owner

If ceremony chairs, cocktail furniture or tables move during the event, identify exactly what changes, who performs the move and where guests are during the transition.

Ask whether the rental company is still on-site at that time or whether another team is responsible. Equipment being rented from a company does not mean its staff remain for the event.

05

Reconcile inventory before pickup and separate personal property

Confirm the pickup window, consolidation requirements and whether late-night or next-day access is permitted. Keep personal décor, gifts and florist or venue property separate from rental inventory.

Use the contract's loss and damage process rather than inventing responsibility on wedding night. Save delivery, flip and pickup owners with rental notes in your couple account so Wedding Builder can connect rentals to venue access and the event timeline.

Portland wedding planning FAQ

Does a wedding rental delivery fee include setup?

Not necessarily. Ask the rental company to define delivery, placement, setup, room-flip and pickup services in the actual proposal or contract.

Who is responsible for missing wedding rental items?

Use the rental agreement's inventory, loss and damage terms. Review those terms before the event and clarify the company's reconciliation process.

Can wedding rentals be picked up the next day?

Sometimes, but both the venue and rental company must allow the timing. Confirm property access, any storage requirements and whether additional fees apply.
