How much time do you have to plan?

The number is less important than the sequence. Use this guide to identify the decisions that unlock the next ones instead of trying to do everything at once.

01

Start with the venue's real table inventory

Table shapes, sizes and room dimensions determine the seating puzzle. Use the actual floor plan rather than a generic chart. Confirm which tables are fixed, where aisles and exits must remain clear and how many seats each configuration comfortably supports after the dance floor, bar, entertainment and service stations are included.

02

Seat for conversation, not perfect symmetry

Tables do not need identical social groups. Look for enough shared context that guests can settle into conversation comfortably. Start with people who should or should not sit together, then build outward using age, interests, family connections or shared history rather than trying to make every table mathematically identical.

03

Place accessibility needs first

Guests with mobility, hearing or other access needs may benefit from specific routes or locations. Ask what would make attendance easier rather than guessing. Consider the path to the seat, restroom and exit as well as proximity to speakers, interpreters or other supports when relevant.

04

Keep service and entertainment in mind

Avoid trapping seats against walls, blocking catering paths or placing guests directly beside speakers when alternatives exist. Review the draft with the venue or planner and catering team because a socially perfect table can still fail if servers cannot reach it or guests must cross a service lane all night.

05

Freeze the chart at the right time

Late changes ripple into escort cards, meals and venue setup. Align the final seating deadline with catering and stationery production. Keep one master seating version and name who is allowed to change it after the deadline so the venue, caterer and stationery pieces do not drift apart. Save that master in your couple account.

Portland wedding planning FAQ

Do couples need assigned seats or just assigned tables?

Either can work depending on service style and venue. Plated meals with individual selections may benefit from more precise seat information.

Where should parents sit?

There is no required arrangement. Choose seating that reflects relationships and gives important family members a comfortable experience.
