01

Confirm exactly what space and time you are buying

List ceremony, reception, getting-ready and outdoor areas along with access and end times. A beautiful room is only useful during the hours your vendors can actually use it. Separate guest event hours from vendor load-in, setup, teardown and property-clear deadlines so the operational window is clear before other contracts are signed.

02

Separate the base fee from the full venue cost

Required staffing, security, cleaning, rentals, service charges or minimum spends can affect the total. Build the venue comparison from all required costs. Note which amounts are fixed, variable or tied to guest count or service choices, and confirm what taxes or other required charges are shown in the agreement.

03

Read cancellation and postponement language carefully

Understand payment schedules, refundable and nonrefundable amounts, date-change rules and any deadlines before signing. Ask questions about language you do not understand. Also locate provisions addressing cancellation by the venue, interruption or unavailability of spaces, and other circumstances important to your decision; obtain qualified legal advice if you need interpretation of your rights or obligations.

04

Vendor restrictions affect later choices

Preferred or required caterers, bar rules, insurance requirements, noise limits and décor restrictions can shape the rest of the vendor search. Translate each restriction into a planning dependency—what must be approved, by whom and by what deadline—so it does not surface after another vendor is already booked.

05

Put important promises in the agreement

If a specific inclusion or exception matters to the decision, ask how it will be documented. Do not rely on remembering a verbal conversation months later. Save the executed agreement, payment dates and operational restrictions in your couple account so Wedding Builder venue decisions remain connected to catering, rentals, entertainment and the timeline.

Should we have a lawyer review a wedding venue contract?

For legal advice about your obligations or unusual terms, consult a qualified attorney. MPW can help identify planning questions but does not provide legal advice.

Are venue deposits refundable?

That depends entirely on the contract. Read the payment and cancellation provisions before signing.
