01

Ask for comfortable event parking, not just the property maximum

Guest count is not vehicle count, but the venue should be able to explain how weddings of a similar size typically use the parking area. Ask what capacity works without blocking emergency, vendor or departure routes.

Include vendor vehicles and any spaces reserved for staff, rentals or transportation providers when evaluating the lot. Those vehicles may arrive before guests and remain throughout the event.

02

Give overflow parking a real address and operating plan

A vague promise of nearby street parking is not the same as a planned overflow area. Identify where vehicles may legally and practically park, how guests find it and whether walking between the lot and venue is realistic.

If overflow requires a shuttle, golf cart or attendant, determine who provides it, what hours it operates and how guests request help near the end of the night.

03

Connect accessible parking to the event route

Ask about designated accessible spaces, surfaces, slopes and the path from parking to ceremony and reception areas. A marked space is not enough if the route beyond it is impractical for the guest who needs it.

If ceremony and reception occur in different areas of a large property, consider how mobility needs are handled between those locations too.

04

Treat rideshare as an option that needs verification

Pickup availability can differ by venue location and hour, especially at the end of a late reception. Ask the venue what couples commonly experience and create a more controlled transportation plan when reliable pickup is important.

Designate a clear rideshare pickup point so waiting vehicles do not block shuttles, guest departures or venue access.

05

Send arrival instructions before guests start driving

Use the wedding website or pre-event communication to explain the correct entrance, parking area, overflow process, shuttle pickup and any rideshare location. Include only instructions that have been confirmed with the venue.

Save parking and transportation decisions with guest logistics in your couple account. Wedding Builder can keep arrival planning connected to venue location and guest experience as attendance becomes clearer.

Portland wedding planning FAQ

How many parking spaces does a wedding need?

There is no universal guest-to-car ratio. Use the venue's experience, your guest mix and the transportation plan, while accounting for vendor and staff vehicles too.

Should wedding parking information go on the invitation?

Detailed logistics can live on the wedding website or another guest communication. The important part is that confirmed instructions reach guests before they drive to the venue.

What if a wedding venue does not have enough on-site parking?

Create a specific overflow or shuttle plan before booking or before guest logistics are published. Confirm where cars may park, how guests travel between locations and who operates that process.

Keep planning
