How much time do you have to plan?

The number is less important than the sequence. Use this guide to identify the decisions that unlock the next ones instead of trying to do everything at once.

01

Decide whether the welcome party solves a real need

A welcome party is especially useful when many guests are traveling, arriving the day before or staying near one another. It gives people a place to gather without requiring the couple to individually coordinate dozens of plans. Define the job first—welcome travelers, combine friend groups, replace informal meetups or extend family time—then size the event around that purpose.

02

Make arrival flexible

Travel delays are normal. A drop-in window often works better than a tightly programmed event when guests are arriving from different places or checking into hotels. If there is a toast, meal or other fixed moment, tell guests which portion is time-specific so 'drop in' does not accidentally mean missing the reason for gathering.

03

You do not need to host a second full dinner

Drinks and light food, dessert or another simple format can be enough. Tell guests what is being served so they know whether to eat beforehand. Match the hosted offering to the invitation language and venue arrangement so guests are not left guessing whether they are attending dinner, drinks or a brief hello.

04

Put convenience high on the location list

A location near the hotel concentration or rehearsal activity can make the evening easier for guests and reduce transportation questions. Compare convenience, accessibility, reservation or private-event terms, capacity and the route guests will actually use rather than choosing only for atmosphere.

05

Give yourselves permission to leave

The couple does not need to be the last people at the party. Set an exit time that protects sleep and wedding-day preparation. Name who closes any tab, gathers personal items and answers late guest questions after the couple leaves. Save the event details in your couple account so lodging, transportation and wedding-morning plans remain connected.

Portland wedding planning FAQ

Is a welcome party necessary?

No. It can be valuable for a travel-heavy guest list, but it should support the weekend rather than create another obligation.

Do we have to pay for everyone's dinner?

The format is up to you. Be clear on the invitation about what is hosted so guests can plan appropriately.
