Build counts from the final layout

Use the confirmed floor plan, guest count and vendor needs—not an old estimate—to calculate chairs, tables, linens and place settings. Different areas may need different quantities.

Include ceremony, cocktail hour, reception and vendor/service spaces separately.

02

Identify items that turn over

Some chairs or tables may move between ceremony and reception, while others must be duplicated because there is not enough transition time. Ask who performs any flip and how long it takes.

A reusable item only saves money if the logistics actually work.

03

Add operational quantities

Catering stations, bars, cake tables, DJ or production tables and vendor meals can require rentals beyond guest seating. Review the plan with vendors who use those pieces.

Do not make the rental company infer operational needs from guest count.

04

Use extras selectively

Ask where a small buffer is prudent for breakage or last-minute changes and where extras simply add cost and clutter. The right buffer varies by item.

Keep the approved quantity as the new source of truth.

05

Freeze and distribute the final order

Once the change deadline arrives, send the same rental list and floor plan to the venue, planner and relevant vendors. Save it in your couple account.

Wedding Builder can keep rental spending connected to the final guest count and venue plan.

Portland wedding planning FAQ

When should we finalize wedding rental counts?

Use the rental company's contract deadline as the controlling date, then work backward from your RSVP and floor-plan milestones. Ask what can still change after the final-count deadline and at what cost.

Should we order extra wedding chairs or place settings?

Ask the rental company, caterer and venue what buffer is appropriate for the actual setup. Extra inventory can be useful, but arbitrary over-ordering adds cost and handling.

Can ceremony chairs be moved to the reception?

Sometimes, but only if the timeline, staffing and venue layout support the flip. Confirm who moves them and how long the transition takes before counting one set twice.
