01

Make the written scope match the service you think you are buying

Package names and proposal summaries are not enough. Compare the agreement with the sales conversation and confirm hours, products, staffing, setup, teardown and any specific service that influenced your decision.

If an important detail appears only in an email or call, ask the vendor how it should be documented in the agreement or an amendment. The goal is one clear record of the booked scope.

02

Put every payment milestone into the wedding budget

Record the initial payment, installments, final balance and any payment-method requirements. Multiple vendors may have balances due in the same part of the planning timeline, so seeing the dates together helps with cash-flow planning.

Also note what changes the price: guest count, hours, staffing, rentals, travel or other variables. A signed starting price may not be the final total if the scope later changes.

03

Read cancellation, rescheduling and change provisions carefully

Understand the process described in the contract if the date, venue, scope or event itself changes, including what happens to payments already made. If you need legal interpretation or advice about your rights, consult a qualified attorney.

Ask how changes are approved and documented. A clear amendment process helps prevent the couple and vendor from relying on different versions of the plan months later.

04

Find the charges that live outside the package price

Review overtime, travel, lodging, parking, delivery, setup, teardown, rentals and other potential charges relevant to that vendor. Ask what triggers each charge and when the final amount becomes known.

Confirm responsibilities too: who provides power, meals, permits, access, tables or other dependencies the vendor needs to perform the service. Cost surprises often begin as responsibility assumptions.

05

Store the executed contract and later changes together

Keep the final signed version, approved amendments and key payment dates in one organized place rather than relying on an email search close to the wedding. Make sure you can distinguish a draft from the executed agreement.

Save planning deadlines and payment milestones in your couple account. Wedding Builder can keep vendor commitments connected to the budget and timeline while the signed contract remains your source for the actual legal terms.

Portland wedding planning FAQ

Can MPW tell us whether a wedding vendor contract term is legally fair?

No. MPW can help surface planning questions and contract details to look for, but legal interpretation or advice about your rights should come from a qualified attorney.

Should verbal promises from a wedding vendor be added to the contract?

If a detail matters to your decision, ask the vendor how it will be documented in the written agreement or an amendment so both sides have the same record.

What wedding vendor contract details should we put on our planning calendar?

Track payment deadlines, final-count or scope deadlines, delivery or pickup dates and any other dates that require action from you. Use the signed agreement as the source for those obligations.

Keep planning
