01

Ask whether security is required

Ask whether professional security is required and what triggers the requirement. A venue may base staffing on guest count, alcohol service, event hours, property layout or its own operating policy. Include mandatory security in the true venue cost instead of discovering it on a final invoice.

02

Clarify who hires and pays

Clarify who hires, schedules and pays the security team. Some venues provide staff directly, some require an approved company and others place contracting responsibility on the couple. Record the minimum staffing, hours, rates and any overtime process with the rest of the venue obligations.

03

Define the role

Understand the role before assuming what security will handle. Staff may monitor entrances, protect restricted areas, support alcohol-related policies, address uninvited guests or help enforce closing procedures. They are not automatically parking attendants, coordinators or cleanup staff.

04

Coordinate access for vendors and guests

Share the access plan with vendors and the planner. Loading doors, locked gates, service entrances, wristbands, guest lists or restricted areas can create delays when no one knows the procedure. Make sure key vendors know how to enter during setup before security controls guest access.

05

Treat security as operations, not atmosphere

Treat security as event operations rather than a visible theme. When roles and escalation paths are clear, staff can often work discreetly. Give the planner or designated contact the security lead's information so the couple is not pulled into routine access or property questions.

Portland wedding planning FAQ

Do all Portland wedding venues require security?

No. Requirements vary by property and event. Ask what triggers security staffing, how many people are required and which hours must be covered.

Is wedding venue security the same as a coordinator?

No. Security, coordination, parking and venue management have different responsibilities. Ask each provider to define its scope so important tasks do not fall between roles.

What should we ask about wedding security costs?

Confirm required staffing, hourly rates, minimum hours, overtime, who hires the team and whether setup or guest-departure coverage is mandatory.
