01

Separate guest event hours from property access

A ceremony and reception lasting several hours can require substantially more venue time for rentals, catering, florals, entertainment, photography and cleanup. Ask for the earliest permitted arrival and the final time people and property must be out.

Clarify whether access applies to the whole venue or whether specific rooms, suites or outdoor areas open later.

02

Test getting-ready access against the beauty and photo schedules

If a suite opens after hair and makeup must begin, decide whether services happen off-site or whether early access can be purchased. Include the time required to move people, attire and beauty equipment if the group relocates.

Photography access may also differ from getting-ready access. Confirm when the photographer can enter ceremony or reception spaces for details and establishing images.

03

Build a load-in sequence from vendor dependencies

Tables may need to be placed before linens, place settings and florals, while entertainment requires clear access to its setup area. Ask the venue where vehicles unload and whether elevators, gates or shared loading zones affect the sequence.

Share access windows with vendors before finalizing delivery times. A rental company's preferred delivery window is not useful if the venue will not accept the order then.

04

Treat teardown as a second logistics plan

Confirm what must leave immediately, what may remain for later pickup and which vendor or person owns each item after guests depart. Décor, florals, rentals and personal belongings can have different removal deadlines.

If cleanup happens inside the contracted rental period, work backward from the hard exit time so the reception does not accidentally consume the time vendors need to clear the property.

05

Price additional access before comparing venues

Early entry, rehearsal access, extended teardown or next-day pickup may carry rental or staffing fees. Include those costs when comparing properties if your design or vendor team depends on the extra time.

Save access milestones and vendor dependencies with the venue timeline in your couple account. Wedding Builder can keep setup needs connected to rentals, beauty, photography and the overall venue budget.

Portland wedding planning FAQ

How early should wedding vendors access the venue?

It depends on the design, venue and each vendor's setup. Build the sequence from actual vendor requirements and property access rather than choosing one universal arrival time.

Does wedding venue rental time usually include cleanup?

Policies vary. Confirm the hard property-clear time and whether vendor teardown, personal-item removal and rental pickup must all happen inside the contracted window.

What if the wedding venue opens after hair and makeup need to start?

Ask whether earlier access is available or plan beauty services off-site, then include the relocation of people, attire and equipment in the getting-ready and photography timeline.

Keep planning
